Collaborate across organizations

The Affiliates feature allows organizations within Credivera to establish trusted connections and collaborate by sharing individuals, assignments, and requirements. Some of the benefits of establishing connections with other organizations include:

  • Reduce manual work by sharing individuals, assignments, and requirements instead of duplicating data.
  • Improve collaboration with partners, contractors, and clients in a shared environment.
  • Strengthen compliance through consistent, shared visibility of requirements and status.
  • Speed up onboarding by reusing verified information across connected organizations.
  • Increase visibility into workforce and compliance activity across your network.

 

Affiliate hierarchy model

Credivera uses a strict parent-child model for all organization connections. The initiating organization becomes the Parent, and the accepting organization becomes the Child. This relationship defines how workflows are managed between organizations and remains in place for the duration of the connection.

How it works:

  1. The Parent organization creates assignments and defines the associated compliance requirements. It can then share these assignments and requirements with the Child organization.
  2. The Child organization can add its workforce to the shared assignment, at which point the defined compliance requirements are applied to those individuals.
  3. The Parent organization maintains full visibility into all aspects of the assignment, while the Child organization only has visibility into its own workforce. This ensures that sensitive information remains protected and that only the organization that owns the assignment has complete oversight.

        An organization can be connected to multiple organizations at the same time, with different parent-child relationships for each connection.

         

        Step 1: Connect with another organization

        To begin collaborating, you must first establish a connection with another organization:

        1. From the main navigation menu, go to Organization > Profile and then select the Affiliates tab. This page displays all organizations currently connected to your organization.

          Note: Only Super Admins can see and access the Organization menu.

        2. To add a new connection, click the Add organization button.

        3. In the Add organization window, select the organization(s) you would like to connect with and click Add.

          Can’t find the organization you’re looking for? By default, organizations are discoverable and available to connect with after joining the Credivera Exchange. However, some organizations choose not to appear in search results. If the organization you’re looking for isn’t listed, it may not be a member of the Credivera Exchange or it may have disabled its visibility.

        4. The selected organization(s) will receive an email invitation to connect. They can choose to accept or decline the request.

          The status of each connection request is displayed next to the organization's name. Until the request is accepted, the status will appear as Pending response

          While a connection request is in the Pending response state, you can resend or cancel the invitation by clicking the Pending response status badge.

        Step 2: Collaborating with another organization

        When a connection has been established, the Parent organization can share assignments with the Child organization. This allows the Child organization to add its workforce to the assignment and automatically inherit the defined requirements.

        1. To share an assignment, click the + icon. In the Add Assignment window, select the assignment you want to share.

        2. You can view all assignments shared with an organization by clicking the assignment count next to the organization’s name.

          In the Assignment window, you can stop sharing an assignment by clicking on the trash can icon. This removes the organization’s access to the assignment; however, the data is retained for auditing purposes.

        Working with shared assignments as a child organization

        As the child organization, you may receive shared assignments that require individuals from your organization to be added.

        How it works:

        1. As the Child organization, you cannot modify the details or requirements of a shared assignment.
        2. The Parent organization that owns the assignment has limited visibility into the individuals you add and cannot modify their details.
        3. For included individuals, participation in a shared assignment is the same as any other assignment. They will receive notifications and requirements to complete them in the same way

         

        Step 1: Shared assignments

        Any assignment shared with your organization will appear in your Assignments list.

        From the main navigation menu, select Organization > Assignments. Here you can view all assignments for your organization, including those shared by external organizations.

        Shared assignments are clearly identified by the organization name listed next to the assignment. For example, the Data Center assignment was shared by Sub Industrial Services

        Step 2: Managing your workforce

        With a shared assignment in place, you can now add your workforce.  

        1. Click the assignment name to view its details.

        2. To add your workforce to the assignment, go to the Individuals tab. Here you will see all individuals from your organization who have been added to the assignment. As the Child organization, you cannot view individuals from other organizations.

          Click the Add Individual button, then select the individuals from your workforce to add to the assignment.

          The selected individuals have been added to the assignment and are immediately visible to the Parent organization. To remove an individual after adding them, select the trash can icon next to their name.

        3. To view requirements added to the assignment, go to the Requirements tab. This displays all requirements and the compliance status of your assigned individuals
